The Controller processes personal data in accordance with the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (GDPR), the Personal Data Protection Act, and other applicable laws.
2. Purposes and legal bases of data processing The Controller processes personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council ("GDPR").
Your data may be processed for the purpose of:
a) Vehicle reservation
- accepting and processing reservations,
- contacting you before the rental begins,
- preparing the vehicle for handover.

b) Conclusion and performance of the Rental Agreement
- identification of the Renter and drivers,
- verification of driving entitlements,
- vehicle handover and return,
- rental settlement.

- deposit handling,
- prevention of payment fraud.

3. Scope of processed data
Depending on the type of service, we may process:
- first and last name,
- national identification number (PESEL),
- date of birth,
- residential address,
- correspondence address,
- phone number,
- email address,
- driving licence number,
- driving licence expiry date,
- identity document data,
- payment data,
- rental history,
- complaint-related data,
- vehicle location data.
In the event of damage or an accident, we may process additional data necessary for handling the claim or fulfilling legal obligations.
4. Sources of data
We obtain personal data:
- directly from you,
- from the person making the reservation,
- from your employer or the entity financing the rental,
- from business partners,
- from booking intermediaries,
- from insurers,
- from public authorities,
- from publicly available registers
5. Vehicle location data (GPS)
YourRent vehicles may be equipped with GPS devices or telematics systems.
Location data may be used solely for the purpose of:
- fleet protection,
- preventing vehicle theft or misappropriation,
- vehicle recovery,
- handling road traffic damage,
- establishing the circumstances of road incidents,
- ensuring user safety.

6. Video surveillance
Video surveillance may be used at customer service points and vehicle handover and return locations.
Surveillance is conducted for the purpose of:
- property protection,
- ensuring the safety of customers and employees,
- securing evidentiary material.
Recordings are stored for no longer than 3 months, unless applicable law requires a longer retention period.
7. Electronic payments
Online payments are processed through payment operators cooperating with YourRent.
The Controller does not store full payment card data.
Data necessary to process payments may be shared with payment operators, banks, and financial institutions participating in the transaction settlement process.
8. Security deposit
In connection with the performance of the Rental Agreement, YourRent may collect a refundable security deposit.
For the purpose of handling the deposit, the Controller may process data related to the payment, fund block, or deposit refund.

9. Data recipients
Your data may be transferred to:
- payment operators,
- banks,
- insurers,
- IT system providers,
- hosting companies,
- law firms,
- debt collection entities,
- accounting firms,
- fleet partners,
- lessors,
- entities providing marketing services,
- partners carrying out vehicle rentals outside Poland,
- public authorities entitled under applicable law.
10. Transfer of data outside the European Economic Area In connection with the use of IT and marketing tools or the provision of rental services outside Poland, data may be transferred outside the European Economic Area.
In such cases, the Controller applies appropriate safeguards required by the GDPR, in particular Standard Contractual Clauses approved by the European Commission.
11. Data retention period
We retain data for the period of:
- performance of the Rental Agreement,
- maintenance of a customer account,
- tax and accounting obligations – for the period required by law,
- limitation of claims arising from the Rental Agreement,
- validity of marketing consent.
After the required periods expire, data is deleted or anonymised.
12. Marketing and profiling
YourRent may conduct marketing activities using:
- Google Ads,
- Google Analytics,
- Meta Ads,
- LinkedIn Ads,
- marketing automation systems,
- newsletters.
Based on user activity, marketing profiles may be created to tailor advertisements and offers to the user's interests.
Profiling does not produce legal effects for the user and does not significantly affect their situation.
13. Cookies
The website uses cookies and similar technologies.
Cookies are used for:
- proper website functioning,
- security,
- remembering user preferences,
- conducting statistical analyses,
- carrying out marketing activities.

15. Voluntary provision of data
Providing personal data is voluntary, but may be necessary to:
- make a reservation,
- conclude the Rental Agreement,
- process payments,
- handle complaints.
Failure to provide data may prevent the service from being rendered.
16. Changes to the Privacy Policy
The Controller reserves the right to update this Privacy Policy in the event of changes in legislation, technological developments, or changes in the manner of service provision.
